dCal resource technical requirements
dCal resources are defined by the following pieces of information:
- Resource Name
- For location-based resources, use either the unique name of the resource or the address of the resource, room number first. Beginning the name of a location-based resource with an organizational reference or using uncommon/unnecessary abbreviations is highly discouraged.
Examples: Breedlove Room or 211 TelCom Building
For other resources (e.g. pieces of equipment, group calendars, etc.), use a simple, unambiguous description of the resource. In these cases, beginning the resource name with an organizational reference is encouraged (and may be enforced).
Examples: OIT Speakerphone or OIT EDSS Staff Calendar
Also, when naming any resource, keep in mind that the display of this field is limited to 32 characters (abbreviate long names where possible).
- Resource Number
- For location-based resources, use the address of the resource, room number last, omitting words like "Building", "Room", and "Street".
Examples: TelCom 211 or 402 Oregon 102
For other resources, the resource name will be repeated here.
- Capacity
- The number of individuals a resource can hold. Not used for resources where the concept does not apply.
- Resource Information URL
- Internet address for resource-specific Web page, if any.
- Phone, Fax, Address
- Contact information for questions about the resource or for the resource itself (for example, a conference room telephone).
- An e-mail address is required to export a resource Agenda. If the resource does not have a unique e-mail address, we will assign it a non-deliverable e-mail address.
- Scheduling Options
- Resources support the following scheduling options:
- Require approval - a user must accept invitations on behalf of the resource
- Allow conflicts - used for a single resource that represents a pool of items; automatically requires approval
- Requester may define a single span of time per day when the resource is available
- Description, Booking Information
- Text fields for a description of the resource and basic booking information.
- Categorization
- Resources can be categorized based on their ownership, type, size, and capabilities. These categories enable searching for the resource by organization or location. The category titles in dCal are hard-coded by Oracle as Country, Facility, and Resource type. We are using these categories in the following manner:
Country - Duke Region and grouping; either University or Health System followed by by location or by organization.
Facility - a list of either organizations or locations, depending on the selection of Country.
Resource Type - one or more of the following (a resource may be assigned multiple types):
- Equipment - any resource that's not a room
- Rooms, All - all reservable rooms in a location or owned by an organization
- Rooms, Audio/Visual - any room with built-in or assigned audio/visual equipment
- Rooms, (Large, Medium, or Small) - an arbitrary classification defined by the owning organization. For one group, their largest room may hold 20 people; for another, their smallest may hold 25.
- Enable Global Agenda Viewing
- Make the resource agenda viewable by other people (including non-dCal-users) on the Web. When enabled, a URL can be sent from within the Web client to anyone to view the resource agenda using the Public access rights.
