Finding dCal resources
Searching for a resource
If you know the resource you need, there are several ways to find it. (These instructions apply to the Oracle Calendar desktop client.)
If you know the name of the desired resource, do the following:
- In the meeting window, in the Add box, type r: followed by part of the resource name and press ENTER.
If what you typed is unique, the resource appears in the list of invitees. If not, one of the following occurs:- The Select Name window displays a list of possible matches.
- A window appears advising that no matches were found.
If you don't know the name of the desired resource, do one of the following:
- View all resources: In the Add box, type r: and press Enter. The Select Name window displays a list of up to 100 resources.
- Search by category: Click Search (magnifying glass icon).
- In the Directory Search window, select the Resources tab. Leave the Search by Category option selected.
- In the Country list, select the desired country.
Note: dCal uses Country to distinguish between University and Health System, followed by either by location or by organization. If you are familiar with who owns a resource, select by organization. If you are familiar with where a resource is, select by location. Keep in mind that if you select by organization, you may not find a general Duke-owned resource, and if you select by location, you may not find a mobile resource (for example, a conference unit).
- In the Facility list, select the desired facility (organization or location).
- In the Resource type list, select the desired type. Types are defined as follows:
- Equipment - any resource that is not a room
- Rooms, All - all rooms that can be reserved at the location selected or that are owned by the organization selected
- Rooms, Audio/Visual - any room with built-in or permanently assigned AV equipment
- Rooms, Large/Medium/Small - refers to room capacity. Since the resource owner defines the size of the room when the resource is added to dCal, the Large/Medium/Small designation can vary greatly across organizations.
A resource may have more than one type assigned. For example, a room that holds 12 people and is equipped with a built-in projector might appear under Rooms, All, Rooms, Audio/Visual, and Rooms, Medium. - Click Search.
Finding an available resource
To review the availablility of multiple resources in order to select one that meets your needs, do the following:
- Open a Group Agenda by doing one of the following:
- Windows/Linux: From the File menu, select Open, then select Group Agenda.
- Mac OS X: From the File menu, select Group, then select Open.
- In the Open Group Agenda window, add the desired individuals and resources, then click OK. The Group Agenda window opens.
- Examine the availability of the selected resources and click to clear the check box(es) for those that are either not available or you do not prefer, leaving one resource selected.
Now that you have identified an available resource, create a new meeting:
- Under the Combined column, click and drag to select the desired meeting time.
- In the toolbar, click New Meeting.
