Example dCal policies and procedures for a resource

Departments may wish to use this document as a template for documenting their policies and procedures regarding dCal resources. For the sake of illustration, we will be using the (non-existent) Duke Astrology department in our examples.


dCal Policies and Procedures for Astrology Department resources

As configured by Duke Astrology, most of our rooms can be scheduled by anyone with a dCal account. For rooms that are not restricted, we reserve the right to deny reservations made by anyone who is not a member of the Astrology Department.

Only Gypsy Rose, Meg Mystic, John Dee, and Tommy Cooper have scheduling rights to the First Floor Astrology Seminar Room.

Though anyone with a dCal account can request a projector, only requests from Astrology department staff, faculty, and graduate students will be considered for approval. Pat Brown and John Smith will review and approve requests, based on the availability of one of the three department projectors. If approved, users should pick up the projector from the department office up to half an hour before the scheduled event. Users should return projectors by half an hour after the end of the scheduled event.

For simplicity, please use only the Normal or Confidential access levels for resources. Private and Public are not to be used.

How to schedule resources

To schedule a resource, create a new event in dCal and invite the desired resource. To avoid scheduling conflicts, do not use Resource25 to reserve the Seminar Room. Use dCal instead.

Unless you have scheduling rights for the First Floor Seminar Room, ask a designate (see above) to reserve the room for you. Event/meeting duration

When you schedule a resource, be aware of any events on the resource's Agenda that immediately precede or follow your meeting time. Allow time between events for pickup/return of equipment, or room setup/breakdown.
